If you've administered a Dynamics 365 Sales or Customer Engagement environment for more than a few months, you've almost certainly run into this conversation:
"How engaged is this account?"
"Uh — let me check."
And then you open the Account record, scroll to the Activities timeline, and start counting. Or you build a view. Or you export to Excel. Or, if you're ambitious, you build a Power BI report that half your sales team forgets exists.
None of these are wrong, exactly. They're just workarounds for something that should be a native field on the form.
The gap
Out of the box, Dynamics 365 tracks activities — emails, phone calls, appointments, tasks — meticulously. Every interaction with a Contact or Account is logged, timestamped, and searchable. What it doesn't do is summarize that history back to you at the record level.
There's no Total Activities, no Emails Last 30 Days, no Last Meaningful Touch field sitting on the Account form. If you want that number, you're building it yourself — usually with a mix of custom views, occasionally a Power Automate flow that updates a field on a timer, and sometimes a Power BI report nobody opens during a live call.
For a sales manager trying to triage a pipeline of fifty accounts, "open each record and manually assess engagement" isn't a workflow. It's a chore that quietly stops happening.
Why the usual fixes fall short
Manual counting doesn't scale past a handful of records, and it's inconsistent — one person's definition of "engaged" isn't another's.
Power BI reports work, but they live outside the record. Nobody wants to tab away from the Account they're already looking at to cross-reference a dashboard. The friction alone kills adoption.
Custom Power Automate flows can populate a field, but they're brittle. They need to be built, tested, and maintained through every release wave — and if you didn't build the original one, good luck understanding the trigger logic six months later.
What was actually needed was simpler: the numbers, already sitting on the form, updating automatically, no report to open and no flow to babysit.
What we built
Activity Rollup Pro adds activity count fields directly to Account and Contact records in Dynamics 365. It runs entirely on Power Automate flows inside your own environment — no external service, no data leaving your tenant — and keeps the counts current without any manual intervention.
Install it as a managed solution, and the fields are simply there: on the form, next to everything else a sales manager or admin is already looking at. No new tab, no separate report, no "remember to check the dashboard."
